Privacy Policy

Last updated November 3, 2026

SweepsData ("we", "us") provides web-based bookkeeping software that businesses ("customers") use to record deposits, payouts, players and games, and to publish reports to Google Sheets. This policy explains what data the service handles and how.

Data our customers enter

Customers and their staff enter business records into SweepsData: transactions (amounts, points, games, dates and times), player names, player IDs and notes, and staff logins. Customers decide what is entered and own that data. We store and process it only to provide the service to that customer.

Account information

For each login we store a username, a securely hashed password, an optional display name, the stores and permissions it has, and, if the customer adds one, a Google email address used to share sheets. We also keep a log of changes made in the app (for example, edits and voids) so customers can see who did what.

Cookies

The app uses a single sign-in cookie to keep you logged in. We do not use advertising or tracking cookies, and this website does not run third-party analytics.

Google Drive and Google Sheets

SweepsData asks Google for one permission: drive.file. It lets the app create, update and share only the Google Sheets and folders that the app itself created. It cannot see, read or change any other file in the Google account.

With that permission the app creates a folder and spreadsheet for each store, writes report data into those spreadsheets, makes monthly archive copies, stores database backups in a folder it created, and shares a store's folder read-only with the email addresses the customer chooses.

Limited Use

SweepsData's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google data is used only to provide the features described above, is not used for advertising, and is not sold or transferred to third parties.

Sharing

We do not sell, rent or trade data. Data is shared only with the people a customer chooses (for example, staff and the Google accounts a store's sheets are shared with), with service providers that host the service on our behalf, or when required by law.

Security

Connections are encrypted (HTTPS). Passwords are stored as one-way hashes. Each customer can only see their own stores, and staff only see what their permissions allow. Databases are backed up regularly.

Keeping and deleting data

We keep a customer's data for as long as their account is active. A customer can ask us to delete their account and data; Google Sheets the app created can be removed from Google Drive at any time. Google access can be revoked at myaccount.google.com/permissions.

Changes

If we change this policy, we will update the date above. Significant changes will be communicated to customers.
